Text Box: Summary of Minutes of Hertford Swimming Club Committee Meeting Held on Monday 22nd Feb at Haileybury Present: JO (Chair), MC, TS, LR, PF, CM, SL, NC, PM (minutes) Apologies: JP SB Minutes of Last meeting: Agreed Matters Arising: Forms for new members get lost with ASA. SL said she had checked with ASA & once ASA have received forms, swimmers are insured. (However there are many problems ensuring the ASA have received them). Agreed that new members should only swim 3 times before joining. Forms should be given out at first visit and MUST be returned by 3rd week. After that no form, no swim. Main problem is in small pool. Teachers need to make note of new swimmers on register. SL will inform teachers. Also agreed that parents of new members MUST remain on poolside until they formally join the club. Need to ensure Kay Murphy is aware of this. Paul said that he or Tim would man a table every week on Wednesday as a point of contact. Table to be sited in front of notice board. Amendment to bylaws agreed that club records can be set on first leg of a relay or first part of a split time. A presentation of wine and flowers was made to outgoing Chairman MC. Team Swimming Report The team finished in a disappointing 6th after 1st /2nd round of Major league. With virtual gala this places us in 11th going into final round at Potters Bar. It will require a very good all round performance to stay in Div 1. Good performances at Open Meets: Watford 14 Golds, 3 silvers, 6 bronzes; Biggleswade 2 golds, 3 silvers 2 bronzes. Hatfield RQT’s to Vicki & Harriet. Correspondence Nothing from Steve Cox at SLM. TS will try & arrange meeting with him to discuss what we would like if we move to Hartham on Friday nights. CY isn’t getting very far with booking galas or Club Champs at Hartham. Could we hold Club Champs at Haileybury? Enfield Open Meet details sent to Steve. MC has investigated Sainsbury Active Kids Voucher Scheme but there is almost nothing suitable for a swimming club. SB to be asked S Bu has resigned as secretary due to pressure of work. JO will check if sec email can be reassigned. In meantime hopefully SBu will check & forward anything. Advert on webpage for new secretary Child Protection Issues CM mentioned forthcoming Welfare Officer’s Day which she can not attend on 18th April. Can anyone else go? LR mentioned the problem of Life Guards texting during sessions. Coaches should mention this if they see it. CM has tried to contact Steve Rata (no reply) re exclusive use of changing rooms on Wednesday. They are used by people at the gym. Should we have exclusive use? Water Polo NC said there are 18 members. They have agreed they will cover their own costs and adjust their fees accordingly. NC will collect the money & forward to Janet. It was confirmed that Life Members get their ASA fee paid. NC will forward his spreadsheet to SL & JP Treasurer’s Report JP not present Swim 21 SB needs to go on a Team Manager’s Course before 2011. MC will check if we need to offer Land Training given that most of our members do plenty of other sport anyway. Safeguarding Wavepower forms are better than HSC acceptance forms. CM will change over. We can only ask for swimmer’s email addresses if we have parental permission, similarly mobile nos. Other Wavepower forms are also more concise so CM will change over. New ISA (CRB). Not yet in place at ASA ? by May. Everyone who works with children will have a number which will be held centrally. Will still need to fill in form though. Some confusion in that adult swimmers who change with the children should be CRB checked but Officials don’t have to be! AOB AGM booked for Mon 7th June. Hall booked 18.40 to 21.40. Need to get accounts examined asap after end of year. Simon Balle Cleanliness & security. JP wrote to Simon Balle suggesting that they get pool relined over summer rather than Easter. Also pointed out problem with cleanliness. Security issues:- CM found 3 youths in lobby last week & asked them to leave. Outer door should be locked. “Parent eyes” need to oversee this. PF will add to parent rota. Lane ropes nearly sorted now at cost of around £90. Thanks to Lee & Dicken. Funding Opportunities – deferred to next meeting. We used to have a sub committee. Need to ask for funding for specific things eg blocks. SB to be asked & everyone to come to next meeting with ideas. Haileybury – Harlow not moving until May. Need to ask SB what he wants to do then & how he intends to staff it. Website – downloadable forms better in PDF format. JO has nice little converter. To email to PM.
