Matters Arising-None.

Correspondence
PM read cmt amusing letter from Herts Mercury August 2011 by Tommy Brennan long-time life member of Hertford SC. It referred to Hertford SC & EHDC Hartham facilities past & present.

CM emailed concern whether need ‘2nd pair of eyes’ at S Balle Tuesdays senior session. Agreed review in New Year as Dec 13th last session before Xmas. Arranging session lifeguards no problem as Tuesday coach LH contacts them herself.

Team & Swimming Report
None submitted . Cmt noted team won Jim Savory and Ware Xmas galas, & boys HASA Daplyn Trophy. Good performances with lots PB’s at recent open meets

Water Polo
No report received from NC . MC reported John Lowy & Neil Cook passed Coaching Water Polo L1 course early October 2011.

Re-accreditation Swim 21 Report (MC)
Thanks to all who supplied ‘evidence’ for submission in our swim 21 files, 
Re-accreditation process
Full reaccreditation files submitted on-line for ‘Teaching’ and ‘Skill Devt’. Levels. Also submitted for Masters (Thursday adults!) accreditation for first time.  All sections passed ASA ER panel 14-11-2011.

National panel review due 14-12-2011. No problems in past.

CPD’s needed for re-accreditation
Thanks to all the following for attending or planning to attend various swim 21-related seminars/CPD’s.

LH attended scUK ‘Coaching Disabled People in Sport’ workshop on 16-11-2011.
KT Welfare Officer has attended ‘Safeguarding & Protecting Children’ seminar on 22-11- 2011.

JoO to take on-line Running Sports CPD asap ‘A Club for All’
MC to reclaim funding for these from ASA ER, attendees to claim from Club.

 
Cap on ASA East Region Funding
ASA ER emailed clubs that they will ‘cap’ swim 21 funding from Jan. 2012 at max. of 1xL1, 1xL2 & 1xL3 course per Club in Club’s swim 21 year. Percentage funding per course is unchanged. Swim 21 CPDs will be funded as before.

Club will need to prioritise who receives ASA funding in future & seek other funding sources.
[MC thought of asking ASA to ‘equate’ theoretical L3 funding allocation which we are less likely to request, to several more L1 or 2 courses, if necessary.]

Club Swim 21 ‘credit’ for swim 21 year Nov 2010-2011-IoS vouchers
MC reported Club had Ł40 of IoS credit in Club IoS online account due to expire on 1st Dec. Therefore MC has ‘spent’ it to reserve one place on IoS seminar ‘Sculling & Development into the 4 Strokes’ to take place on Sunday 29-01-2012 at Hitchin 2-5pm.

Current Club funding claims 
Funding for JC’s Teaching Aquatics L1 course finished October 2011 received by Club. There are now no outstanding claims for teaching or coaching courses. 

Matters Arising from swim 21 Process.

Club Documents

Various Club documents were created, or existing ones updated . The New member  information- gathering forms now ‘gather’ medical and disability information as separate entities. 

Cmt discussed whether we should abbreviate the  member information form issued in new member packs 

Possible additions to New Members Packs
Hy-Tek online info, Sharkeye (videoing swimmers) consent form, Discipline Policy,

New Teachers Pack
MC suggested introducing a ‘New Teacher/Coach pack available for those starting teaching or coaching for us. It would contain all the new member pack documents plus additionally Induction form, pool emergency procedures, incident report prompt cards, Codes of Conduct for teachers and swimmers, discipline policy, Hy-Tek online information, teacher contact list/cover arrangements.

Child Protection

Misbehaviour in Haileybury changing rooms resolved (Jo. O’B). Need to monitor situation when youngsters sharing changing area with older swimmers.

Treasurer’s report & Financial Issues(TS)

Balance healthy. Agreed Club aim to keep reserves at about this level.

Cmt approved squad fees TS proposed for January 2012. Small increase on last term for inflation.

Annual Membership fee
TS suggested charging a flat rate annual membership fee once a year in January or upon joining, to include ASA registration (swimmers ASA cat. 2), & Club Champs entry and licence. This fee not returnable if member leaves part way through year. Cmt agreed in principle. Amount and items included need to be finalised. 

Executive cmt (only) is responsible for annual salary review.

AOB

Chairman post
Still vacant with no-one from cmt or membership volunteering for this role. JoO ‘acting chair’ until January. ?

Galas & Fixtures:
Discussed feasibility of increasing opportunities for swimmers of all abilities to compete by entering two teams in some galas eg as done in past in Hartham Bowl home gala. Restricted spectator access at Hartham would be a problem. Southbury Rd Enfield has 8 lanes and cheap (relatively) to hire. Possibly ask if members would travel there for ‘home’ galas.

CY arranging 2012 fixtures. No contact yet with Club who did not compete at Hartham Bowl at v short notice. Need to ask them for compensation for reduced income from spectators.

Coaching/Meetings
Relevant coaches have been informed wrt their new squads & reason for change.
 
Teachers & coaches meeting chaired by Steve on Weds 26th October appreciated by all who attended as opportunity to coordinate policy across all squads/sessions. Agreed future regular meetings would be useful (as minuted 26th October) as forum for new issues which always arise.

Value of Sharkeye underwater camera in stroke analysis showing swimmers aspects of stroke needing correction, appreciated. Discussion with head coach needed to maximise use of this resource. Eg ?Sharkeye rota for squads. Action; JP, St B.

Herts ASA Chairman’s Forum 14-11-2011 Attended by JoO-useful.

Herts ASA Clubs Forum 07-12-2011-Action JaO attending.

Steve B planning ‘presentation’ to swimmers & coaches early 2012-‘Training Intensities & Energy Systems’ 30min, 50-55 attendees approx. Probably a Sunday 4.30pm before training.
Action: TS to inquire cost/availability of Haileybury classroom.

Trial Swimmer arrangements

Thanks to KG and JC who have volunteered to meet potential new members attending for trial swim Weds at Hartham 7-8pm. FR emails trial swimmer information form to parent of trial swimmer who brings completed form with them to trial. Spare template forms to be kept at Hartham.

Training venue-air quality
SLM compensated Club for recent poor air quality at Hartham. Club to monitor and take similar action if future episodes arise. 

Welfare Officer phone contact-
Discussed possibility of enabling phone contact with welfare officer via a Club mob. phone/number in addition to current email or face to face contact at pool. Depends if likely use would warrant it.

Intranet
SL suggested it would facilitate Club admin if had ‘intranet’ access via Club website for members to more easily download/print off their own Club documents, membership forms etc. Cmt agreed interesting idea for further consideration.

Noticeboard
MC  has updated list of Club cmt & officers for noticeboard.

Swim 21 club 5% discount 
MC reminder this available on purchases of ASA Awards badges & certificates.
